You can edit almost all texts on that sheet and get a result like this PDF from my own chapter “Morgenstond” in Amsterdam, including visitors listed.

Then you can just immediately click the “Create kits and placemat” button and receive the up-to-date PDF, without visitors.

(You would have to copy/paste visitors from the Connect-generated Excel sheet into the yellow textfield on the webpage. Other information can be filled in fill in on text fields in the right pane on the web page, or in the profile.)

It’s not difficult once you know how it’s supposed to work. I’d be happy to walk you through the system (Zoom, Teams, Meet) so you can learn how to get the visitors in and how to use the “kits” that will be auto-created.

You probably noticed this URL change some time ago but there’s more to discover. If you already know what chapterprints is all about, please read on after the intro.

Introduction

Chapterprints.nl is providing just what you need for frequent and efficient network meetings. It creates personalized badges, table cards, search questionnaires and much more, for dozens of people at once, are laid out at the touch of a button and emailed to you as a PDF.

Chapterprints understands how to do your layouts based on intelligent templates. The result is impressing and done in a few minutes, day after day, week after week. At least if you have good quality content – ​​and your organisation sure has it.

Of course you could consider to use other software (Indesign, Illustrator, some use Powerpoint) but andling that will cost a lot more time, just as money. The house style won’t always be applied correctly and it is more difficult to make last-minute changes. Some groups may lack the expertise at times. And let’s face it: some quality requirements aren’t met, simply because it would take too much time every week. (Think of contact details on feedback cards, for example). Plus: you demand continuity, under all circumstances.

Chapterprints is designed to serve BNI chapters exclusively. Thanks to the unique structure of the BNI organization and the souvereign chapters, it’s up to the chapters to decide what software they prefer to use for printing tasks and how much effort or money they’re willing to invest in the performance of their group. The obvoious benefit is that no group will be charged for a service they don’t want to use.

Note 1: this layout software is not a BNI tool, it is just like Word or InDesign: your own independent software solution.

Whoever takes care of the printed materials can choose to work with InDesign or Word… or opt for a few clicks in Chapterprints.nl for impeccable and error-free PDFs in the right house style.

Note 2: No personal data is ever stored in the system, only the chapter profile (start time, name, location, that sort of thing).

You can simply place the cards on their own (160g paper recommended) or in standard plastic holders, then they will stay tidy for longer (coffee splash-proof).

A table card, badge inlay, feedback cards. BNI members receive a different feedback card; For each visitor you can indicate who is a member for Chapterprints.nl. There is even a receipt for the bookkeeping, with or without BNI logo.

The sheet for making meeting notes (sometimes referred to as “placemat”) displays all attendees. It also can tell you which visitor is already a BNI member, who is being replaced by whom, and all telephone numbers are listed. You can even have the professions added – but then you will have little space for notes and search queries.

The lower section is available for mentioning upcoming presentations, event dates and free professional classifications.

New to all this? Considerations about costs and benefits

Creating all these items without comprimise to detail, in corporate style and fully personalized will set you apart. This level of quality is rare because it’s simply quite expensive to achieve it manually. Thin of an hour every week, that’s 50 hours times an hourly rate… You can easily reach thousands of euros. Should that new enthusiastic designer really do it for free?

The other option is to make concessions and not personalize everything, then it will be a bit cheaper. You can also go with hand written badges. Or use business cards… Here you can see what you are missing if you don’t go for the full experience.

A starting designer will be eager to show that he/she can do it and undoubtly has excellent ideas. But the BNI house style is fixed, the format is professionally defined and what after a year, will the same drive still be there? If the designer leaves the group, then what?

It’s a well-known fact that 30% of a chapters turnover comes from visitors. Having a pristine and professionally organized presentation is key, especially for convincing visitors of your credibility. Besides that, these paper tools will guide your hosts as well.

A license on Chapterprints.nl will cost your chapter € 280,- per year. That equates to approximately € 5.50 per week. For a group of 22 entrepreneurs, that comes down to € 0.25 per person per meeting. It strengthens the professional impression on both visitors and members – and thus the functioning of your group.

Five euros… would someone work an hour for five euros? Half a hour? Year after year, making last minute adjustments, adapting texts, monitoring corporate identity…?

Layoutserver for online meetings (Corona driven)

It’s wise to send the placemat to the visitors on the day before the meeting. It contains vital information for visitors and members alike. It enables visitors to prepare for their visit and they’ll have a reference in their mailbox, in case the paper placemat gets lost after the meeting. Of course, members have the app.

During an online meeting, no more business cards are handed over. With help of the placemat:

  • visitors will be able to find the telephone number and company name of each member
  • visitors will be informed of the Trainings that are part of the membership*
  • visitors will note the Open Classifications*
  • visitors will see the upcoming names* for the Feature Presentations (an opportunity for themselves someday)
  • as always, the placemat will serve as Meeting Note Sheet.

* recommended to maintain on the front page (right panel) in Layoutserver.nl (registered users only)

Badges, table cards, feedback forms aren’t needed online. For the current period, you’ll need only the placemat in your PDF-output.

This is why a checkbox has been added to request just the placemat. As long as corona is still around, this checkbox will be enabled by default and is marked in red and bold to remind you of this feature.

We can’t wait to default it to ‘unchecked’! After that, we’ll keep the feature because the stand-alone placemat -without the kits- is ideal to forward to the visitors.

Online meetings: placemat only, no kits

If you send the placemats to all attendants, including the visitors, they’ll be able to find the telephone number and company of each member. 

Badges, table cards, feedback forms aren’t needed with online meetings. So, a checkbox has been added to request just the placemat. As long as corona is still around, this checkbox will be enabled by default and is bold and red to remind you of this new feature. We can’t wait until we can default it to ‘unchecked’ and normalize the typography.

 

Table cards for members

An extra checkbox has been added where you can opt for generating table cards for all meeting participants, not just the visitors. Ideal for core groups.

Duo-members on the Meeting Note Sheet

Enter the word “duo” in the Suffix field in EXCEL (NOT in BNI Connect anymore!) and the partner will be listed on the note sheet instead of the registered member. If you have a combined membership, only one name is registered in BNI Connect. If the registered member won’t attend the meeting, register the partner as a substitute. Enter the word “duo” in the Suffix field in BNI Connect and the partner will be listed as a member on the note sheet, instead of the registered member.

Do this in Excel, column “suffix”, NOT in BNI Connect as it will become a static field that’ll be hard to change.

No more semicolons

In the Custom Fields for Trainings en Presentations, you previously had to type in semicolons for line breaks. Please remove these. They’re not necessary anymore.
